How to write an international meeting invitation people read correctly

A meeting can be planned perfectly and still fail because of the invitation. People skim on their phones, convert times in their heads and miss details. A good international invite answers every question before it is asked.

The seven elements of a good invitation

  1. A specific subject. "Q1 budget approval" is better than "Meeting". If the call is recurring, include the frequency.
  2. The date for each region. When the call crosses midnight for someone, give that person's date explicitly.
  3. Every participant's local time, written out by city. Do not rely only on the calendar conversion.
  4. Duration, so people in the early morning or late evening know what they are committing to.
  5. The join link and a backup, such as a dial-in number or a WhatsApp group, for participants with unstable connections.
  6. A short agenda with the expected outcome. "Decide the supplier for Q1" tells everyone why their presence matters.
  7. Calendar buttons or files, so the event is created in each guest's own time zone automatically.

Why write the times when the calendar converts them?

Calendar conversion is reliable when the event is created correctly, but the invitation is often read before it reaches the calendar: in an email preview, a chat message or a forwarded text. A list of local times also lets each participant spot a problem immediately, such as a holiday or a time that is too early, and say so before the meeting.

Name cities, not abbreviations

"10:00 CST" can mean US Central Standard Time, China Standard Time or Cuba Standard Time. "IST" is used for India, Ireland and Israel. City names have no ambiguity: "10:00 AM Chicago" is unmistakable. Our guide to time zone abbreviations lists the most confusing ones.
